Groups Overview

ZenduONE's group management functionality is designed to make fleet organization and asset categorization a breeze. This guide outlines how to create and manage groups effectively through the Admin settings.

Why Use Groups?

Groups serve as a fundamental tool in organizing your fleet, especially when dealing with multiple vehicles. You can categorize assets by departments, locations, or asset types, making it easier for reporting and monitoring purposes. For example, you can assess which location has the most equipment in use.

Creating a New Group

  1. To begin, navigate to the Admin settings within your account.

  2. Within Admin settings, you'll find the "Groups" section.

  3. Click on "+ Create Group," which is located on the top right corner of your screen.

ZenduONE Admin dashboard provides comprehensive fleet management capabilities that extend far beyond basic location tracking icons on a map. The platform equips fleet managers with actionable insights and real-time data for enhanced decision-making, enabling smarter and faster operational choices even when drivers are actively on the road. This all-in-one solution delivers enhanced driver safety monitoring, comprehensive historical data retrieval access, and proactive hardware health management to streamline operations, reduce downtime, and achieve business objectives through strategic fleet management.

Core Platform Capabilities

Enhanced Driver Safety: Monitor comprehensive driver behavior patterns, identify risky driving tendencies, and ensure fleet operations maintain the highest safety standards through detailed behavioral analysis and real-time monitoring systems.

Historical Data Retrieval: Access extensive past trip records, video footage archives, and detailed activity logs for thorough incident review and performance optimization analysis across all fleet operations.

Hardware Health Management: Proactively monitor fleet device status and address potential hardware problems before they escalate into costly operational disruptions, ensuring continuous fleet availability and optimal performance.

Groups Management

Group Organization Benefits and Strategic Implementation

Groups serve as fundamental fleet organization tools that enable efficient categorization of assets by departments, geographic locations, or asset types. This organizational structure facilitates comprehensive reporting and monitoring capabilities, allowing fleet managers to assess location-specific equipment usage, departmental efficiency, and operational performance metrics. Groups provide essential privacy control and access restriction capabilities for multi-location or multi-department operations.

Detailed Group Creation Process

  1. Navigate to Admin settings within your account and locate the Groups section

  2. Click "+ Create Group" button positioned in the top right corner of the screen

  3. Configure comprehensive group parameters:

    • Parent Group Selection: Determine if the new group has a Parent Group or operates as a Sub-Group, with Parent groups serving as primary categories under which sub-groups can be organized

    • Name Assignment: Provide descriptive group identifier that clearly represents the group's purpose or scope

    • Icon Selection: Choose visual representation that helps identify the group quickly in interface displays

  4. Click "Save" in the top right corner to complete group creation

Hierarchical Organization Structure: Parent Groups function as primary categories with unlimited sub-group organization capabilities, enabling detailed asset segregation according to specific organizational preferences and operational requirements. This hierarchy can be extended through multiple levels, allowing for complex organizational structures such as State > City > Department configurations.

Practical Group Implementation Example

For a fleet operating in California, create a California parent group as the highest organizational level. Since California represents the primary geographic grouping, it would not require a parent group assignment. However, if California operations include San Francisco and Los Angeles locations, create sub-groups for each city with California designated as the parent group. This hierarchy can be extended further by adding department-specific sub-groups within each city, enabling precise organizational control and access management.

Group Assignment and Access Control

Users and Assets can be assigned to Groups either during initial creation processes or through subsequent editing and management procedures. Group-based access control enables restricted viewing permissions for dedicated fleet managers, ensuring that Los Angeles managers can only access Los Angeles group assets while maintaining privacy control based on fleet structure and specific organizational requirements.

Security Clearances

Comprehensive Security Level Management

Security clearances provide granular control over user access to specific platform modules through creation and assignment of customized permission levels. This system ensures that users only access functionality appropriate to their operational roles and responsibilities.

Default Security Clearance Options

The platform provides five pre-configured security clearances for immediate implementation:

  • Administrator: Complete platform access including all modules, settings, and administrative functions

  • User: Limited access to Map and Insights modules only with full functionality within those areas

  • User No Live View: Map and Insights access with livestream capabilities disabled for security purposes

  • Viewer: Restricted to Map access only without livestream capability or advanced features

  • No Access: Primarily used for driver registration to maintain system records without granting platform access

Access default clearances by navigating to Admin > Users and clicking Clearances in the top right corner for comprehensive permission overview and management.

Custom Security Clearance Creation

  1. Navigate to Admin > Users section and click Clearances button

  2. Select "+ New" button in top right corner to initiate custom clearance creation

  3. Choose appropriate parent clearance as foundation for new permissions structure

  4. Modify individual permissions according to intended user group requirements

  5. Configure module-specific access levels for precise operational control

  6. Click into individual modules to set granular permissions within each area

  7. Save custom clearance configuration for immediate assignment availability

Example Implementation: Create "Dispatch" clearance based on Administrator permissions but disable Admin, Assets, and Insights modules while maintaining Maps access. Further customize by disabling media footage access within Maps module to restrict dispatcher capabilities to location monitoring and trip management only.
