Overview

This guide explains how to use the Reports Module to create ad-hoc reports, customize configurations, schedule email deliveries, and manage report workflows effectively.

Accessing the Reports Module

Navigate to the Reports module through the left-side navigation panel after logging in. If the module is not visible, verify that your account has the necessary permissions for report access and creation.

Reports List Page Overview

The Reports List Page provides comprehensive report management with the following information display:

  • Name: Report title identification

  • Shared To: Users and email addresses receiving report deliveries

  • Frequency: Email delivery schedule (Daily, Weekly, Monthly)

  • Next Schedule Date: Upcoming scheduled email delivery timestamp

  • Modified By: User who last modified the report configuration

  • Created By: Original report creator identification

This centralized view enables efficient monitoring and management of all created reports.

Creating a New Report

Report Selection Process

  1. Click the "+ Reports" button located at the top corner of the Reports screen

  2. Browse available report categories and select desired report type

  3. Review the preview display showing:

    • Included report columns list

    • Sample data illustrating report appearance

    • Description explaining report purpose

  4. Click Next to proceed with configuration

Report Configuration Setup

Selecting Entities

Access Select Entities to define data scope for the report. Choose from the following options:

  • All Assets, Groups, and Drivers: Includes complete available data

  • Specific Assets, Groups, or Drivers: Select particular entities from searchable list

  • Confirm selection by clicking Save Selection

Setting Default Date Range

Configure default date range for report view with these options:

  • Today: Current day data

  • Yesterday: Previous day data

  • Last Week: Past seven days data

  • Last Month: Previous calendar month data

  • Custom Range: User-defined start and end dates

The default range applies when the report opens and can be modified later as needed.

Adding Report Description

Provide brief explanation of report purpose in the Description field. Example: "Daily performance metrics for fleet drivers."

Configuring Table View

Customizing Columns: Review default column inclusion and uncheck unnecessary columns for streamlined data presentation.

Adding Filters: Implement filters to narrow data based on specific conditions:

  1. Click "+" button to add filter

  2. Select target column

  3. Choose operator (equals, contains, etc.)

  4. Enter filter value

  5. Add multiple filters as required

  6. Remove filters using "x" icon

Sharing Options

Configure report visibility settings:

  • Everyone: Share with all portal users

  • Selected Users: Share with specific users only

  • Only Me: Restrict visibility to report creator

Adjust settings in the Sharing Settings section according to access requirements.

Report Scheduling Configuration

Email Delivery Setup

  1. Toggle on Email View option

  2. Set Initial Delivery Time with specific date and time selection

  3. Choose Email Frequency:

    • Daily: Daily report delivery

    • Weekly: Weekly report delivery

    • Monthly: Monthly report delivery

  4. Add Recipients:

    • Select recipients from portal user list

    • Add external email addresses for system-external sharing

Saving and Finalizing Reports

Complete report creation by:

  1. Verifying email settings if scheduling is enabled

  2. Confirming all selections, filters, and customizations meet requirements

  3. Clicking Save button to generate report

The report becomes available in the Reports module and delivers via email if scheduled.

Managing Saved Reports

Report Management Actions

Access report management through the three-dot menu (ellipsis) next to report names:

Download Options: Select Download XLS or Download CSV to save report copies locally with applied filters.

Edit Report: Modify report configuration including filters, columns, or date ranges.

Change Schedule: Update Email Schedule to modify frequency, recipient list, or delivery timing.

Share Report: Grant access to additional users or email addresses through Share Report option.

Viewing and Modifying Existing Reports

  1. Navigate to Reports Module to access saved reports

  2. Locate desired report in list and click to open

  3. Utilize available modification options:

    • Change Date Range: Use date range selector to view different time periods

    • Apply Additional Filters: Refine data using page filters and click Apply to implement changes

The system provides flexible report management enabling ongoing customization and data refinement according to evolving analytical requirements.
